To submit documents for translation at HCSTI (High Court Sworn Translators and Interpreters), please follow these steps:

  1. Prepare Your Documents: Make sure all the documents you want to translate are clearly scanned and saved in a high-quality format. Check that they are complete and include any important additional papers that may be needed for an accurate translation. If your documents have been officially apostilled by the Department of International Relations and Cooperation, you don’t need to certify photocopies before you send them in.
  2. Check Requirements: If you’re unsure about what documents you need to submit, it’s a good idea to contact either customer service staff or a senior sworn translator by emailing [email protected] or [email protected] for clarification.
  3. Submit Your Documents: You can send all your documents either through email or our online submission portal. Make sure you include everything necessary, along with any forms or information we might need to process your request.
  4. Provide Your Contact Details: It’s important to give your full name, phone number, and email address when you submit your documents. This will help us communicate with you effectively and keep you updated on your translation status.
  5.  Keep Track of Your Submission: If you receive a reference number for your submission, keep it noted somewhere. This will help you check the progress of your translation request.
  6. Follow Any Extra Instructions: Pay attention to any additional guidance you receive from HCSTi translators or customer service staff during this process.

    Sworn translation services, also referred to as official, certified, or public translation, are now offered in the following languages:

    • Western European Languages: French, Spanish, German, Italian, Portuguese, Dutch, Swedish, Polish, Bulgarian, Croatian, Czech, Danish, Hungarian, Irish, Maltese, Romanian, Slovak, Slovenian, and English.
    • Eastern European and Slavic Languages: Russian, Ukrainian, and Bulgarian.
    • African Languages: Zulu, Ndebele, Venda, and Afrikaans.

    – Asian Languages: Arabic, Turkish

    Other Languages: Greek, Hebrew, and vice versa.

    Official, certified, and sworn translations are a prerequisite for immigration, visa, and citizenship applications when requisite documents (such as birth certificates, marriage certificates, police records, and divorce decrees) are not in the official language of the host country.

    Requirements by Jurisdiction:

    USCIS (USA):

    • A certification letter from the translator affirming their qualifications to translate and the accuracy of the translation is mandatory. Notarization is generally not required, but may be added at the translator’s discretion.

    UKVI (UK):

    • Submitted documents must contain a “true and accurate” statement, the date of translation, and the translator’s contact information.

    Immigration New Zealand (INZ):

    •   Resident Visas: Certified translations are mandatory.
    •   Visitor Visas: Effective May 26, 2025, certified translations will no longer be compulsory for visitor visas, but translations must still be conducted by a professional translator rather than a family member or applicant.

    Standards: Translations should be produced on official letterhead and must include appropriate stamping/signing.

    IRCC (Canada):

    • A formal declaration of accuracy is required, typically accompanied by an affidavit, especially when engaging a non-certified translator.

    Differentiation in Translation Types:

    • Certified Translation: This entails a signed statement from the translator or agency affirming the accuracy of the translation.
    • Sworn Translation: Conducted by a translator designated by a court of law, which is prevalent in civil law jurisdictions such as South Africa, France, and Germany.

    Note: It is critical to ensure translations are executed by an independent third party. Self-translation of documents is not permitted.

    Obtaining sworn or certified translations of public documents for use in Greece, Spain, Italy, and Portugal involves specific protocols that differ from standard sworn translations typically provided for other European and non-European jurisdictions. Adhering to these guidelines is crucial for ensuring that your documents are accepted by the relevant Ministries of Foreign Affairs.

    To request sworn translations suitable for use in Spain, Italy, and Portugal, please follow the procedures outlined below:

    1. Consult with Your Immigration Authority: Engage with your immigration officer or the immigration department in the country of your residence or your intended destination. Confirm the specific documentation required for your application originating from South Africa.

    The most common documents necessitating translation for residency applications, citizenship registrations through birth (jus soli or jus sanguinis), descent/ancestry (jus sanguinis), and marriage (jure matrimonii), and birth registrations may include apostilled documents, unabridged birth or marriage certificates, death certificates, police clearance certificates, and others.

    Option 1:

    If you have:

    •  Obtained the necessary documents from the relevant embassy,
    •  Secured apostille certification from the Department of International Relations and Cooperation (Dirco) in South Africa,

    You may then scan a high-quality copy of the documents requiring translation and forward it to [email protected] or [email protected].

    Ensure you include any specific translation instructions and a confirmation of the intended country of use.

    Option 2:

    If you intend to utilize your school transfer card or report card from South Africa in another country, it is imperative to adhere to certain essential procedures. Initially, it is necessary to have your documents officially validated through an apostille or attestation. This process serves to verify the authenticity of your documents, ensuring their acceptance in foreign jurisdictions.

    Please note that this procedure exclusively pertains to the educational spectrum from Grade R through Grade 12.

    For Public Schools:

    1. Both the school transfer card and the school report must be signed by the principal.
    2. A confirmation letter concerning the school report is required from the Provincial Department of Education. This letter must be signed and stamped by the Head of the Department.

    Supporting Documents Required:

    • A certified copy of the child’s birth certificate.
    • A certified copy of the parent’s identification.

    These documents should be submitted to [email protected]. It is essential to specify the country in which the authenticated documents will be utilized. Should you be missing any requisite documents, please contact us for guidance on obtaining them.

    For Private Schools:

    1. The school transfer card and the school report must also be signed by the principal.
    2. A confirmation letter from the school, signed by the principal, is necessary.
    3.  Additionally, a confirmation letter regarding the school registration from the Provincial Department of Education is required. This letter must be signed and stamped by the Head of the Department.

    Supporting Documents Required:

    • A certified copy of the child’s birth certificate.
    • A certified copy of the parent’s identification.

    Important Notice:

    • Notaries are not authorized to notarize school transfer cards and academic reports intended for international use. The Department of Basic Education (DBE) is responsible for the authentication of school transfer cards and academic reports in South Africa.
    • A sworn translator may only proceed with translating these documents once all necessary procedural steps have been successfully completed.

Additionally, include any relevant certificates, such as TEFL or equivalent, alongside a Police Clearance certificate.
    1. Verification of Qualifications:
    • To verify South African qualifications with the South African Qualifications Authority (SAQA) for professional employment in target countries, follow these steps:
    • Complete the Application Form: Download and accurately complete SAQA verification consent form.
      • Ensure all personal and qualification details are correct.
    • Gather Required Documentation:
      • We will need copies of your qualifications and identification.
      • Non-South African citizens must provide a passport,
      • South African citizens should submit their ID.
      • Refugees need to include their asylum documentation.
    • Submit Your Application: Send the completed application form and associated documentation via email to [email protected].
    • Wait for Confirmation: The expedited service for verification letters has a processing time of 14 to 21 working days, excluding weekends and public holidays.
    • Receive Verification Results: Upon completion, SAQA will issue a digital verification letter via email. It is crucial to collect the original document physically.
    1. Notarization: For the validation of TEFL or SACE certificates, as well as handwritten marriage and birth certificates, notarization by a registered South African notary is required. This process includes affidavits for name changes if there is a discrepancy between the names on your documents and your post-marital name.
    2. Apostille Certification:
    • For documents intended for China, South Korea, Saudi Arabia, Armenia, Azerbaijan, Georgia, Israel, Japan, Kyrgyzstan, Mongolia, Singapore, Taiwan, and Uzbekistan, the following are required for Apostille submission to the Chief Justice’s Office at the High Court:
      • All notarized documents should be submitted to the Chief Registrar’s office.
    1. Submitting Apostilled Documents:

    Once you receive the Apostille, include these authenticated documents with your teaching application in China. Educational institutions typically require verified documentation alongside a resume and other relevant materials.

    1. Consult Local Authorities:

    It’s advisable to verify any specific requirements for foreign documents with the recruiting agency, as some regions or institutions may have distinct stipulations.

    1. Selecting a Sworn Translator:

       In South Africa, it is essential to engage translators who are registered with the South African High Court. These translators must possess a certificate and corresponding case number evidencing their registration.

    While the South African Translators’ Institute (SATI) maintains a database of translators, it is important to note that not all listed translators are sworn translating officers appointed by the South African Supreme Court or High Court. Utilizing the services of a non-registered officer may result in the rejection of your evaluation request by SAQA.

    2. Preparation of Documentation:  

       Collect all requisite documents, including original foreign qualifications, transcripts, and any additional supporting materials needed for evaluation. Ensure that all documents are complete and clearly legible.

    3. Requesting a Sworn Translation:

    Initiate a request via email for the translation of all qualifications pertinent to your submission to SAQA, directing your correspondence to [email protected]. It is imperative to provide clear copies to prevent any loss of information during the translation process.

    4. Translation Procedure:  

    Please allow adequate time for our translation officers to complete the translation process. The duration may vary depending on the complexity and volume of the documents submitted. Upon completion of the translation, a digital copy will be emailed to you for your submission to SAQA at https://authenticationservices.saqa.org.za/.

    The original signed copy, accompanied by a red sticker and legal tape, will be couriered to the address you provide, provided you submit the following information:

    • – Your full name
    • – Your address
    • – Your contact number

    5. Notarization:  

    Certain institutions may mandate that documents be notarized prior to obtaining a sworn translation. Verify with your specific evaluation process whether this requirement applies.

    6. Submission to SAQA:

    Present the sworn translations along with your formal application for evaluation to the South African Qualifications Authority (SAQA). It is crucial to adhere to SAQA’s guidelines and submission requirements.

    7. Tracking Your Application:

    Maintain a record of your application submission and establish regular communication with SAQA to receive updates or address any additional requirements.

     

    8. Follow-Up:  

    Should you not receive an acknowledgment within the anticipated timeframe, it is advisable to follow up with SAQA to confirm that your application has been received.

    9. Awaiting Evaluation Results:

    Upon completion of the evaluation process, SAQA will provide feedback regarding the comparability of your qualifications to South African standards.

    Guidelines for Getting Your Afrikaans Documents Translated for the U.S. Afrikaner Refugee Program – (USRAP)

    If you are applying for the South Africa USA Refugee Program and need your Afrikaans documents translated into English, there are some important things to keep in mind:

    • Translate Your Documents: Any document that is in Afrikaans must be translated into English. This helps ensure that everyone understands them clearly.
    • Use Certified Translators: The translation must be done by a qualified translator who speaks both Afrikaans and English well. These professionals make sure the translations are accurate. To get your documents translated, you can email them to either [email protected] or [email protected].
    • Translation Confirmation: The translator will provide a statement confirming that their translation is accurate. They will also include their qualifications, showing that they are qualified to do the translation.
    • Full Translation: Everything in the document will be translated, including any headings, footers, and other important information.
    • Keep the Same Format: The translated document will look as similar as possible to the original. This means that the layout, fonts, and any official stamps or seals will be preserved.
    • Translator’s Contact Info: The translated document will include the translator’s contact information. This helps officials verify that the translation is legitimate and done by a qualified person.
    • Submit Both Original and Translated Documents: When you apply, you must submit both the original Afrikaans documents and their English translations. This helps make sure there are no mistakes during the review process.
    • Start Early: It’s a good idea to arrange for translations as soon as possible. This way, you avoid delays in your application process.

    By following these guidelines, you can help ensure that your refugee application goes smoothly. It’s also a good idea to seek advice from legal experts or organizations that specialize in refugee services for further assistance based on your specific situation.

    Refugee Admissions under E.O. 14204 “Addressing Egregious Actions of the Republic of South Africa”: 

    CRITERIA: To be eligible for U.S. refugee resettlement consideration through this initiative, individuals must meet all of the following criteria:

    • Must be of South African nationality; and
    • Must be of Afrikaner ethnicity or be a member of a racial minority in South Africa; and
    • Must be able to articulate a past personal experience of persecution or fear of future persecution on account of race, religion, nationality, membership in a particular social group, or political opinion; and
    • Must be at least 18 years old or are being referred with a parent, as defined by the Immigration and Nationality Act (8 U.S.C. 1101(b)(2)); and
    • Must be living inside South Africa; the program does not anticipate any out-of-country processing of South African nationals.

    PROCESS:

    At this time, individuals who meet all the above criteria and would like to be considered for referral to the U.S. Refugee Admissions Program (USRAP), and who have not yet been contacted by a USRAP partner to initiate referral into the USRAP or processing of your case, should complete the online USRAP Intake Questionnaire Even if you have already submitted a Statement of Interest via the link previously shared on this page, if you are still interested in USRAP participation and have not yet been contacted by a referring or processing partner to take action on your Statement of Interest, you must complete and submit this questionnaire in order to be considered for referral into the USRAP.

    The Department of State’s referral partners will review all submissions, contacting applicants if any additional information is needed to determine eligibility for referral into the USRAP. Given the volume of interest, individuals may not receive a response for an extended period after submitting their questionnaire.

    Not all individuals will be referred to the USRAP for further consideration of refugee eligibility. The U.S. government considers a variety of factors when making USRAP access decisions, including eligibility criteria, persecution claim, and background check results. The authority to grant access to the USRAP rests with the U.S. government and is not a function of USRAP implementing partners RSC Africa/CWS or Amerikaners. Once a decision is made regarding whether an individual is referred into the USRAP, the individual will receive notification of the decision, whether referred or not. 

    Documents required for Afrikaners (USRAP) refugee program

    Not all documents will be relevant to every individual or family, so please prepare only those applicable to your specific circumstances.

    1. Passports
    • A valid passport is mandatory for each individual, including infants and children.
    • As of now, there are no constraints preventing South Africans from applying for or obtaining a passport.
    • Note: For minors of divorced or separated parents, the presence of both parents is typically required during the passport application process at Home Affairs.
    1. Unabridged Birth Certificates
    • Full birth certificates that include details of both parents are necessary.
    • Children cannot exit the country without an unabridged birth certificate.
    • Adults may require this documentation later to verify identity, familial connections, and legal relationships for Green Card applications one-year post-arrival in the U.S.
    • If the birth certificate is not available or delayed, a police affidavit confirming the birth details may be used as supporting evidence, though acceptance is not guaranteed.
    1. Marriage Certificate
    • May be requested to verify:
    • The marital relationship, especially for couple applications.
    • Discrepancies in surnames between spouses or between a parent and child.
    • Legal or financial matters in the host country, such as pensions, taxes, or insurance.
    • Proof of relationship if one spouse is claimed as a dependent in the application.
    1. Parental Consent Letter (when applicable)
    • A signed and certified original (wet ink) affidavit from the non-travelling parent granting permission for the child to travel. (Affidavit Template available for download).
    • A certified copy of the non-travelling parent’s identification (ID or passport).
    1. Court Orders or Death Certificates
    • A certified copy of a court order is needed to confirm full custody, negating the requirement for the affidavit mentioned above.
    • A certified death certificate is required if a parent is deceased as supporting documentation.
    1. Documentation for Previously Married Women
    • Women with previous marriages, particularly those who have remarried multiple times, should prepare documentation for all prior marriages and divorces to establish a clear history of name changes, which facilitates identity verification during application processing.
    • This includes copies of prior marriage and divorce certificates, as well as documentation of any name changes, including aliases or former surnames as reflected in supporting documents like passports, birth certificates, or financial records.

    Recommended Supporting Documents (if available)

    1. Vaccination Records

    – Proof of routine childhood vaccinations (mandatory for children). For information regarding vaccines, refer to the appropriate health resources.

    1. National ID Card
    • While not obligatory for international travel or immigration procedures such as refugee resettlement, a national ID card can be useful for various administrative or legal purposes, including:
    • Future pension claims may require ID verification if claims are filed from outside South Africa.
    • Administrative updates or cancellations related to bank accounts, properties, or insurance policies in South Africa may necessitate an ID.

    SupplemeNtary Documents (if requested)

    These are not universally required but may be pertinent if the U.S. government requests further evidence or if you are comfortable providing details to substantiate your claims of persecution. Many applicants may not possess these documents and still qualify, yet if available, consider bringing them:

    1.Police or Government Reports

    • Any available documentation regarding reported threats, harm, or persecution can be crucial, including case numbers, screenshots of online threats, photographs, messages, or videos.
